Solutions such as MS Teams, SharePoint and an electronic signature system have been implemented to support improved business processes enabled by effective technologies. The Teams roll-out has supported and enabled the democratic imperative of the Council, enabling on- line meetings and briefings of the Senior Management Team, City Council, SPCs, LACs and other committees of Council as well as Inter-Agency and Community Call collaborations. • Civic Events online - Live streaming was put in place for major events (arts, planning) and Council meetings. A number of virtual events had streamed, and recorded content published through the website. City Development Plan public consultation webinars were held with international presenters using Microsoft teams live events with over 120 stakeholders at each one. Female Caucus seminar was held online in November with fireside chats, international panels and contributions from City Councillors and staff. Cork City Council live streams all of its full Council meetings. • DWT - Framework in place to roll out across the organisation. There has been an increased importance placed on the role of communication with staff and Councillors especially when people are working from home. A new SharePoint Intranet went live in November giving staff online access to information and services and news items.
Corporate Applications & Business Continuity
This team supports over 150 systems, 800 users with requirements being driven by internal business directorates, residents, and businesses of the city. Projects completed in 2021 included:
Planning Development Management System : A business Case for a New Integrated Planning Development Management System was approved.
Business Continuity (ICT Disaster Recovery): The development of a Business Impact Analysis (BIA) which prioritises ICT systems across all Business areas saw Directorates sign off on the corporate assessment of its systems to aid contingency planning. The ICT DR policy is completed, approved, and adopted by CSG outlining roles, responsibilities and disaster recovery requirements. The ICT DR master plan and Individual directorate DR plans are currently being put in place with the relevant priority systems RPO and RTO recovery procedures detailed. ICT DR Test scheduled for mid-February 2022 with testing plans, testing schedules and policy review schedules to be implemented once a successful test is completed. A new backup solution was implemented in City Hall along with a re-configuration of the replication solution to CIX. Exchange Online Migration: This project involved the migration of our existing on-premises email Exchange environment to Exchange Online part of the Microsoft 365 cloud infrastructure. This included the migration of existing mail accounts and mailboxes, archiving and mail hygiene services as well as security and mobile device access. The decommission of the current Exchange 2010 environment allowed for the removal of up to 10 on-premise servers from our virtual infrastructure. The new solution provides staff members with enhanced functionality, increased mailbox size and security, as well as optimising the benefits of the M365 environment. A subcomponent of this project was the set-up and configuration of our new Mobile Device Management system on the Microsoft 365 Intune environment. Microsoft Intune allows us to manage and secure access to our mobile devices in addition to locking down access to unmanaged devices. We currently have 450 devices on Intune and the Operations team and Mobile Device Team are progressing the remaining devices via mobile upgrade clinics and migrating existing phones to the new environment.
